Code of Conduct

Purpose

Strange & Extraordinary Fest (“the Fest”) is a welcoming, curiosity-driven space. This Code of Conduct sets expectations for behavior to ensure a safe, inclusive, and enjoyable experience for attendees, speakers, vendors, staff, volunteers, and venue partners.

Scope

This policy applies to all Fest spaces and activities: the venue, off-site events, excursions, online channels (website, social, live streams), and any communications related to the Fest. It covers everyone: attendees, speakers, sponsors, vendors, staff, contractors, media, and volunteers.

1) Our Standards

Expected Behavior

  • Be respectful, kind, and collaborative; debate ideas, not people.

  • Follow staff instructions and venue rules.

  • Honor personal space and consent; ask before recording or photographing individuals.

  • Use inclusive language; be mindful of accessibility needs.

  • Wear your badge; follow posted capacity and safety notices.

Unacceptable Behavior

  • Harassment of any kind (verbal, physical, visual, or online), including: slurs; derogatory comments; stalking; intentional intimidation; unwanted physical contact; non-consensual photography/video of individuals; doxxing.

  • Discrimination based on protected characteristics (e.g., race, ethnicity, national origin, religion, gender identity/expression, sexual orientation, disability, age, veteran status).

  • Sexualized language, imagery, or behavior in public spaces; inappropriate DM/solicitation.

  • Disruptive conduct that interferes with programming (heckling, repeated interruptions, refusal to exit when asked).

  • Vandalism, theft, counterfeit credentials, or unsafe use of equipment.

  • Possession of prohibited items (see Section 6); illegal drugs; public intoxication; underage drinking.

2) Photography, Recording, & Media

  • Panels & Stages: Recording may be restricted by the Fest or speakers. Look for posted signage and follow staff directions.

  • Attendees: Ask for consent before photographing or filming identifiable individuals. If someone declines, respect it immediately.

  • Minors: No close-up images without a parent/guardian’s express consent.

  • The Fest may capture photo/video for archival and promotional use. By entering, you consent to being recorded in crowd shots. If you need a no-photo indicator, visit Registration for a “No Photos” sticker.

3) Speaker, Exhibitor & Sponsor Standards

  • Speakers: Content must comply with venue rules and the law; avoid targeted harassment or medical/legal claims presented as fact without substantiation. Claims of investigation should be framed responsibly.

  • Exhibitors/Vendors: Clear pricing and truthful product claims; no counterfeit or illegal goods; no deceptive “free” offers that require payment.

  • Sponsor Activations: Must meet accessibility, safety, and truth-in-advertising standards.

Violations may result in content removal, booth closure, credential revocation, or removal without refund.

4) Accessibility & Inclusion

  • The Fest aims to provide accessible seating, aisles, and clear signage.

  • Request accommodations in advance at contact@StrangeAndExtraordinaryFest.com (e.g., priority seating, ASL inquiries).

  • Service animals are welcome per venue policy.

5) Health & Safety

  • Follow posted safety notices, capacity limits, and emergency procedures.

  • If you feel unwell, contact staff; first aid and EMS contacts are available at Registration.

  • The Fest may adjust health protocols (e.g., masks) based on venue guidance and local regulations.

6) Prohibited & Restricted Items

  • Weapons (real or replica), hazardous materials, fireworks, and projectiles are prohibited.

  • Alcohol consumption must comply with venue rules and Texas law; no outside alcohol.

  • No smoking or vaping indoors; follow designated areas.

Cosplay props may be permitted only if peace-bonded and clearly non-functional at staff discretion.

7) Reporting & Enforcement

If you experience or witness a problem:

  • Find any staff/volunteer (look for STAFF badges), or visit Registration/Security.

  • In emergencies, call 911 first, then notify staff.

Process

  • We will listen, document, and act promptly and discreetly.

  • Actions may include verbal warnings, badge confiscation, removal without refund, booth closure, or law enforcement involvement.

  • The Fest reserves the right to deny or revoke credentials at its sole discretion to protect attendee safety.

Non-Retaliation
We do not tolerate retaliation against anyone who reports in good faith.

8) Tickets, Refunds & Re-entry

  • All sales are subject to ticketing terms; the Fest may adjust programming, schedule, or capacity as needed.

  • Re-entry and bag checks follow venue policy.

  • Removal for Code violations does not qualify for refunds.

9) Minors

  • Minors must be accompanied by a parent/guardian unless otherwise specified.

  • Content warnings may appear for mature sessions; parental discretion advised.

10) Data & Privacy

  • We collect only necessary registration and analytics data.

  • We do not sell attendee personal data.

  • Press/media must identify themselves and follow Section 2 rules.
